How to review and release documents workflow

You can set a document as finalized when releasing parts/drawings in the web app. Only admin of the workspace can review, release, and archive documents.

Send review request

An editor user in a workspace can send the documents for review. This sets the lifecycle state of the document to pending to not allow any edits while under review.

  1. Select a document(s).
  2. Select More > Workflow > Lifecycle > Send Review Request.
  3. Fill out the review information including the new status. For example, “Under Review”.
  4. Click Request Review. An email will be sent to the selected reviewers with the information in the form and a link to attached documents. The documents will be set as pending. From the pending state, documents can be set to finalized or back to editing by an admin of the workspace.

Allow edits

If the document under review is not approved and requires editing, it can be set back to the default lifecycle state in the following steps:

  1. Select a document(s).
  2. Select More > Workflow > Lifecycle > Allow Edits.
  3. Select the new status. For example, “In Progress”.
  4. Click Allow Edits. The documents will be set back to the default state where edits are allowed.

Release as Final

If the document under review is approved and ready to be released, it can be set to the finalized lifecycle state in the following steps:

WARNING: Documents in the finalized state can only be set to archived. You can create a copy of the document or create a new revision to continue edits.

  1. Select a document(s).
  2. Select More > Workflow > Lifecycle > Release As Final.
  3. Select the new status. For example, “Released”.
  4. Click Finalize file(s). The documents will set back to the finalized state where edits are not allowed.

Archive

If the document is ready to be archived, it can be set to the archived lifecycle state in the following steps:

WARNING: Documents in the archived state can not be edited. You can create a copy of the document or create a new revision to continue edits.

  1. Select a document(s).
  2. Select More > Workflow > Lifecycle > Archive.
  3. Select the new status. For example, “Archived”.
  4. Click Archive file(s). The documents will set to the archived state where edits are not allowed and will be hidden from the normal result list. To view archived files on the web app, select the filter icon on the top right corner of the document grid and select View Archived.
